APPLICATION FOR THE EAST AFRICAN e-PASSPORT

JULY 2019 : This is to notify the Kenyan Diaspora that the Department of Immigration Services has rolled out the e-Passport application submission and biometrics capture service for Kenyans in Diaspora at the Embassy of Kenya in Berlin, Germany. You can still use your manual passport until 1st March 2020 after which it will be rendered invalid.

IMPORTANT INFORMATION

ALL EPASSPORT APPLICATIONS MUST BE SUBMITTED UNTIL 12.30 C.E.T. ON WEEKDAYS. AFTERNOON SUBMISSIONS ARE NOT POSSIBLE.

1. Passport applicants who are 18 years old and above must be holders of a valid Kenya National Identity Card (ID card) to be able to apply. Parents who hold a valid ID card can apply for their children who are under the age of 18.

2. If you do not have an ID card or you lost it and only have a (laminated) copy, you must obtain an ID card first before applying for the ePassport. The Kenya Embassy in Berlin does not issue ID cards. You must travel to Kenya or the Kenya High Commission in London to register and be issued the ID card.

3. All passport applications must be made on the Department of Immigration Services page www.ecitizen.go.ke. You will have to enter your ID card number to be able to register on eCitizen and then apply for the passport.

4. In order to register successfully, a verification code will be sent on the number you enter. Currently, the codes are only sent to Kenyan mobile phone numbers that have never been registered on eCitizen. You must therefore enter an active Kenyan number on the telephone number field (you can enter the number of a relative or friend who has never held a passport). Kindly note that the codes expire if not entered immediately.

5. Applicants who hold a manual passport should apply for a REPLACEMENT on eCitizen and not for a NEW PASSPORT!!!! 

6. When entering foreign alphabet letters, e.g. Ä,Ö,Ü, these letters should be anglicized to AE, OE and UE. There should not be any commas or any other symbols on the application entries.

7. Ensure that you enter the correct country and place of birth and country of residence.

8. You can make corrections or edit your ePassport application through the APPLICATION HISTORY page by clicking on the EDIT button.

9. Your ePassport photo will be captured at the Embassy. The 3 photos stated on the checklist are for file purposes only. Ensure that you appearance on the day adheres to the photo guidelines on the checklist.

SUBMITTING YOUR APPLICATION

Once you have successfully applied and paid online, download the relevant application checklist below and after obtaining all the necessary requirements, book an appointment through your ecitizen account to submit the application and biometrics capture in Berlin. If you book an appointment for the afternoon, ensure that you still appear at the Embassy before 12.30.

Submission hours: Mondays - Fridays  9 a.m. - 12.30 p.m.

When booking your appointment on eCitizen, kindly note that the Embassy is closed on all German (Berlin) and Kenyan public holidays and also between Christmas and the New Year. Do not make any bookings on these dates:

12th December 2019 - Jamhuri Day (Kenya)

23rd December 2019 - 5th January 2020 - Christmas/ New Year

10th April 2020 - Good Friday (Kenya & Germany)

13th April 2020 - Easter Monday (Kenya & Germany)

1st May 2020 - Labour Day (Kenya & Germany)

8th May 2020 - Day of Liberation (Berlin only)

21st May 2020 - Ascension Day (Germany)

1st June 2020 - Madaraka Day and Whit Monday (Kenya & Germany)

20th October 2020 - Mashujaa Day (Kenya)

HOW TO GET YOUR PASSPORT ONCE IT HAS ARRIVED FROM KENYA

Once your ePassport is received in Berlin, an sms is automtically sent to your Kenyan number. You can also track your passport progress through your ecitizen account or click on the list below to see if your passport is ready for collection.

Once you have established that your ePassport is ready for collection:

Applicants from Germany:

Option 1: You can pick up your passport during the public hours of the Embassy Mondays-Fridays 9 a.m. - 1 p.m. 

- Requirements: Your current passport and the Photo Token Receipt

Option 2: You can have your passport posted via DHL. Send the following via registered mail (Einschreiben) addressed to the Embassy.

1. Your current passport

2. A photocopy of the Photo Token

3. 1 DHL EXPRESS EASY PREPAID NATIONAL envelope (buy it from the Deutsche Post) and enter your full details under the EMPFÄNGER field. Send this exact envelope. Passports will not be dispatched to clients using any other envelope.

 

Applicants from outside Germany:

Your should send the following to the Embassy via any courier service of your choice:

1. Your current passport

2. A photocopy of the Photo Token

3. A printed shipping label from any international couriers service of your choice for posting your passports back to you.
